The problem with training video is never the first version

A training video is easy to make once and expensive to keep true. The interface changes, a step moves, and the video quietly starts teaching the wrong thing - which is worse than no video, because people follow it.

Short, single-purpose recordings survive that. One video per task means the step that changed is a two-minute re-record rather than a forty-minute reshoot, and the rest of the library stays correct.

Editing by transcript is what makes a second take unnecessary

Most of what is wrong with a first take is verbal: the "sorry, let me start again", the pause where you looked for the menu, the tangent. All of that is text in the transcript, and deleting the sentence deletes the footage.

That is the difference between recording a process once and recording it four times. It also means the person who knows the process can make the video, rather than handing it to somebody who owns an editor.

Where it has to end up

Training tends to live in something else - a wiki page, an LMS, an onboarding checklist - so a share link that opens in any browser without an account is usually the right output, and an MP4 export is there for the platforms that insist on a file.

Captions are not optional in practice. A large share of workplace video is watched muted at a desk, and a training video that has to be heard is a training video that gets skipped.

One task per video, and usually under three minutes. Long videos are the ones that go stale in the middle and never get updated, because fixing one step means re-recording the whole thing.

How do I keep customer data out of it?

Record a single window rather than the whole screen, and use a test account with made-up data. It is far easier than blurring afterwards, and it is the thing people forget until the video is already circulating.

Do I need to install anything to record a training video?
